                                   12-month, 75% position

 

DEPARTMENT:       VENTURE PROGRAMS

 

SALARY:                    Range 32: 75% of $2,169 - $2,799 per month

POSITION PROFILE:

The Venture Program Assistant reports to the Venture Administrator and performs specialized technical/clerical duties in support of Venture activities. Organizes and perform work related to program operations independent of the daily administrative office needs of the supervisor.  Represents the program to clients, participants and /or members of the public.  Participate in and support the program team in getting tasks and overall job done in a quality manner.  Take direction and input from the Venture Administrator and exercise initiative, creativity and problem-solving skills in developing solutions related to program operations

MINIMUM QUALIFICATIONS:

High school graduation or equivalent AND two years of full-time clerical or customer service experience OR equivalent education/experience.  Applicants must meet the minimum qualifications to be considered.

 

SPECIFIC POSITION REQUIREMENT:

(Applicant’s must possess the following in order to be considered for the position.)

  • Proficient with Microsoft Office Suite (Word, Excel, PowerPoint, Access)

 

DESIRABLE QUALIFICATIONS:

  • Customer service experience (telephone and in person.)
  • Experience with professional documentation.
  • Demonstrated commitment to pluralism with the ability to advocate for it on campus and work as a team member on a campus committed to pluralism
  • Ability to learn proprietary student and financial electronic database system and scheduling software package
  • Excellent composition and interpersonal skills and work effectively as a member of a team and execute directions as assigned

 

CORE COMPETENCIES:

Provide customer service: Listen attentively, identify issues, provide options, fulfill services, and/or exercise knowledge of policies and procedures to assist others and/or resolve complaints or conflicts.

Level I Word Processing: Use word processing software, such as MS Word to create, format, edit, preview, print and save documents.

Level I Spreadsheet: Use spreadsheet software, such as MS Excel to create, modify, print, and format spreadsheets, find and replace data, and work with basic formulas and functions.

Level I Database: Use database software to develop and maintain records.

  • Tact & Diplomacy: Responds to difficult, stressful or sensitive interpersonal situations in ways that reduce or minimize potential conflict and maintains good working relationships among internal and external customers.
  • Verbal & Written Communication:  Effectively express ideas and information in writing and using language that is appropriate to the knowledge and understanding of the audience.

 

ESSENTIAL FUNCTIONS:

  • Serve as a primary contact with program participants; provide information regarding program policies and activities; perform a verity of public relations functions
  • Compose correspondence and printed materials related to program policies, procedures, and operations; edit materials for accuracy, appearance, readability, and style.
  • Produce and distribute program completion certificates
  • Assist in the preparation of the schedule of classes, program brochures, and flyer
  • Provide budget, procurement, and payroll support to the Venture program (e.g. purchase orders, special assignment pay, etc.)
  • Coordinate Logistical Arrangements for program activities such as meetings and conferences
  • Use spreadsheet and database software to develop and maintain records
  • Establish and maintain records and files ; record statistical information
  • Prepare narrative and/or statistical reports regarding program operations
  • Perform complex word processing tasks such as merging and sorting, integrating text with graphics, spreadsheet and data base files, uploading and downloading and creating footnotes and outlines
  • Help support select instructor requirements

 

Union shop provisions cover this position as the result of a majority vote by employees in the bargaining unit.  All employees must either join the Washington Public Employee’s Association  and pay regular union dues or pay a union representation fee on date of hire as required by the Dept. of Personnel, Higher Ed. Division rules.
